A complete guide to using the platform — from grant discovery to application submission

01Platform Overview

Grantline is a Japan-focused financing intelligence platform that helps startups and SMEs discover public funding opportunities — grants (補助金), subsidies (助成金), and loans (融資) — and manage applications end-to-end.

The platform is bilingual (Japanese / English) and combines automated data collection, AI-assisted drafting, eligibility matching, and advisor workflows into a single workspace.

02Getting Started

Create an Account

Sign up with your email address. You'll receive a confirmation email to verify your account.

Register Your Organization

Complete the onboarding wizard to set up your organization profile — company details, industry, region, employee count, and financials. This powers eligibility matching.

Browse & Search Grants

Use the Grants page to search for funding opportunities. Filter by type (grant, subsidy, loan), industry, region, amount range, and deadline status.

Start an Application

From any grant detail page, click 'Apply' to create an application. Use the section editor to draft, refine, and submit your application.

03Grants Discovery

The Grants page is your central hub for discovering Japanese public funding opportunities. New programs are automatically added via our scraper pipeline.

Searching

Type keywords into the search bar to find grants by name or description. Results update as you type. Both Japanese and English terms work.

Filtering

  • Type — Grant (補助金), Subsidy (助成金), Loan (融資)
  • Industry — Manufacturing, IT, Agriculture, etc.
  • Region — National, prefectural, or municipal programs
  • Amount — Filter by minimum/maximum funding range
  • Deadline — Open now, closing soon, or all

Grant Detail Page

Click on any grant card to view its full detail — description, eligibility criteria, funding amounts, subsidy rates, deadlines, and application requirements. If you have an organization profile, the page shows your eligibility match score.

04Organization Setup

Organization setup is essential for accurate eligibility matching. The more complete your profile, the better the platform can recommend relevant grants.

💡 Tip: Complete Your Profile

Grants often have strict criteria around employee count, revenue, incorporation date, and industry. A complete profile ensures you don't miss eligible programs.

Company Profile

Enter your official company name (Japanese and English), corporate number, address, founding date, employee count, and annual revenue. You can also look up your company via the corporate number registry.

Document Library

Upload key documents like your articles of incorporation (定款), tax returns, and financial statements. These documents are referenced when building applications.

05Applications

The application module lets you draft, edit, and submit grant applications with structured sections that match the target program's requirements.

Creating an Application

Start from a grant detail page by clicking 'Apply'. This creates a new application pre-populated with sections matching the grant's template (e.g., Project Overview, Budget Plan, Innovation Description).

Section Editor

Each section has a rich text editor with character count tracking. Write your content directly, or use the AI assistant buttons to generate a draft, improve existing text, shorten to fit limits, or formalize the tone.

Submission

Once all sections are complete and validated, submit the application. The platform generates a submission package with all required documents formatted to specification.

Grantline integrates AI assistance throughout the application process. All AI features use Claude and are optimized for Japanese grant writing conventions.

07Advisor Workspace

The advisor workspace is for professional grant consultants (中小企業診断士, 行政書士, etc.) who manage multiple client applications.

Pipeline View

See all assigned organizations and their applications in a kanban-style pipeline. Track status, deadlines, and completion rates across your portfolio.

Review & Approval

Review AI-generated drafts, leave comments, approve or flag sections, and manage version history. Each section tracks who edited it and when.

08Admin Dashboard

The admin dashboard provides platform-wide management tools. Access requires platform admin privileges.

  • Analytics — Application counts, status breakdown, user activity metrics
  • Process Log — Track all system events (scraper runs, AI calls, submissions)
  • Advisor Assignments — Assign advisors to organizations
  • Scraper Health — Monitor data pipeline status and last run times
  • Instruments — Manage grants, create rounds, AI-assisted data entry

Paste raw grant text (Japanese) and let Claude extract structured data — name, eligibility, amounts, deadlines, and more. Review and edit before saving.

Is Grantline free to use?

Grantline is currently in MVP phase and available for testing. Pricing details will be announced when the platform launches publicly.

What types of funding does Grantline cover?

Grantline covers three types: grants (補助金), subsidies (助成金), and public loans (融資). Data is sourced from METI, ものづくり, J-Net21, and other Japanese government portals.

Is the AI reliable for grant applications?

AI drafts are designed as a starting point. We strongly recommend reviewing and editing all AI-generated content before submission. The AI is trained on Japanese grant writing conventions but cannot guarantee approval.

Can I use Grantline in English?

Yes — the entire platform is bilingual. You can switch between Japanese and English at any time using the language switcher in the top navigation bar.

How often is grant data updated?

Our scraper pipeline runs automatically every 48 hours to collect new programs and update deadlines. Manually curated grants are also added by the admin team.
